Formalities
Mission order compulsory
BEFORE you travel on your doctorate, you must obtain a Mission order from your laboratory => contact your laboratory secretary.
For regular inter-site travel (e.g. Anglet-Pau), a Permanent Mission order covering all travel during the year may be requested from your laboratory.
Travel abroad
BEFORE any trip abroad:
♦ register on the Ariane portal of the Ministry of Foreign Affairs (MAE).
The copy of the registration confirmation email will be attached to the request for authorisation for absence abroad (AAE) for travel outside the European Union.
♦ Apply online for an Authorisation for Absence Abroad (AAE) before departure: https://demande-absence-etranger.univ-pau.fr
The request must be made at least 28 days before the planned departure (reduced to 8 days for Spain). The President's prior authorisation is an essential stage in the preparation of the travel.
Authorised means of transport
Travel should primarily be by public transport, giving priority to the train.
Public transport and carpooling
♦ Train: In order to obtain advantageous fares, tickets should be booked at least 30 days before departure.
♦ Bus: Low-cost buses (if booked in advance) serve towns on the Basque Coast and across the border from the Pau campus (FlixBus, Blablacar Bus...).
♦ Carpooling: Find out if other people make the same journey (laboratory, college, etc.). There are also paid car-sharing platforms (Blablacar, Mobicoop, etc.).
UPPA administrative vehicles
Contractual doctoral students or working in UPPA can reserve administrative vehicles available on their campus => ask the laboratory secretary for details.
The use of a company vehicle is forbidden for any journey exceeding 300 km.
Use of personal vehicle
BEFORE travelling, a request for authorisation to use a personal vehicle must be made to the laboratory secretary at the same time as the request for a mission order.
Permission may be granted in view of the length of the journey, the impossibility of using public transport, time constraints, etc.
The use of a private vehicle is forbidden for any journey of more than 300 km, unless public transport is not available, in which case car-pooling should be preferred. The use of a hired vehicle is prohibited.
Financial support for mobility
The doctoral school encourages the international mobility of doctoral students and the communication of their research results at an international level by providing financial support (subject to eligibility) to doctoral students who spend time in a foreign laboratory or present an oral paper at an international conference. Please note: there are only two application periods per year (end of November, for mobility between January and June of the following year, and end of May for mobility between July and December).
